WINA WILDLIFE
CONSERVANCY
Stay in Nature. Conserve Nature.
TERMS & CONDITIONS
Please read this document carefully. Your booking
is confirmed only upon receipt of signed acknowledgement.
In this document, "WWC", "we", "us", and "our" mean Wina Wildlife Conservancy Ltd (trading as Wina Wildlife Conservancy).
PART A — Disclaimer & Indemnity
A1. Nature of the Environment
Wina Wildlife Conservancy (WWC) is a remote wilderness property located on the West Lunga River in Mwinilunga, Northwestern Province, Zambia. The property encompasses wetland, miombo woodland, and riverine forest ecosystems. Guests visit and remain on the property entirely at their own risk.
By proceeding with a booking at WWC, the guest (and all members of their party) acknowledges and accepts that:
-
The natural environment contains inherent and unpredictable hazards, including but not limited to: wild animals, insects, reptiles, and other fauna; uneven terrain, water bodies, slippery surfaces, and dense vegetation.
-
WWC is located in a remote area where access to emergency medical services, hospitals, and evacuation is significantly limited. Guests should ensure they hold comprehensive travel and medical evacuation insurance that suits their individual needs before arrival.
-
Seasonal conditions — including flooding, road closures, and changes to the river — may affect access to, within, or from the property, and WWC cannot be held responsible for consequential loss or expense.
-
Wildlife, including potentially dangerous animals, may be encountered anywhere on the property. Guests must follow all instructions given by WWC staff at all times.
In the unlikely event of needing evacuation, Mwinilunga Town airstrip is only 4km away from Wina and can be easily accessed.
A2. Assumption of Risk
The guest voluntarily assumes full responsibility for all risks associated with their visit, including personal injury, illness, death, or loss of or damage to personal property, arising from:
-
Contact with or proximity to wild animals, insects, or other fauna;
-
Participation in any activity offered at or arranged through WWC, including but not limited to walking, boating, swimming, birdwatching, and guided excursions;
-
Use of the property's facilities, tracks, paths, and river access points;
-
Weather events, flooding, or other natural occurrences;
-
Travel to and from the property on public or private roads.
A3. Limitation of Liability
To the fullest extent permitted by applicable law, WWC shall not be liable for any loss, damage, injury, delay, or expense arising from any cause whatsoever, including but not limited to circumstances beyond WWC's reasonable control, the acts, omissions, or negligence of the guest, or the negligence of WWC, its directors, employees, agents, or community partners.
Guests are responsible for the safekeeping of their personal belongings, cash, and valuables. WWC shall not be responsible for loss, theft, or damage to such property, except to the extent caused by the negligence or wilful default of WWC or its staff.
WWC shall not be responsible for damage to or loss of vehicles, equipment, or other personal property brought onto the property, except to the extent caused by the negligence or wilful default of WWC or its staff.
WWC shall not be liable for indirect, incidental, consequential, or economic losses arising from the cancellation, alteration, or interruption of a stay, except where such liability cannot lawfully be excluded.
Guests are responsible for their own medical, evacuation, and emergency expenses, and are strongly advised to maintain appropriate travel, medical, and evacuation insurance.
Where, notwithstanding the foregoing, WWC is found liable to a guest arising out of or in connection with a booking or stay, WWC's total liability to that guest, however arising, shall not exceed the total amount paid by the guest to WWC for the relevant booking.
Nothing in these Terms shall exclude or limit any liability which cannot lawfully be excluded or limited under applicable law.
A4. Health, Fitness & Medical Disclosure
Guests confirm that they are in adequate physical health to participate in a remote wilderness stay. Guests with pre-existing medical conditions, allergies, mobility limitations, or dietary requirements must disclose these to WWC in writing at the time of booking. WWC will make reasonable efforts to accommodate disclosed needs but cannot guarantee it, and there is no medical care on-site.
The West Lunga region is a malaria-risk area. Guests are strongly advised to consult a travel health professional prior to arrival and take appropriate prophylaxis. WWC does not accept liability for malaria or any other tropical illness contracted during or following a stay.
A5. Insurance
All guests are advised to hold valid comprehensive travel insurance that includes, at a minimum:
-
Emergency medical treatment and hospitalisation;
-
Medical evacuation and repatriation;
-
Trip cancellation and curtailment.
Travel without adequate insurance is at the guest's sole risk.
A6. Children & Minors
Parents and legal guardians are solely responsible for the safety and supervision of children in their care at all times while on the property. Children under the age of 16 must be accompanied by a responsible adult during any excursion or activity. WWC accepts no liability for injury to or loss involving minors.
A7. Force Majeure
WWC shall not be liable for failure to fulfil any obligation under a booking where such failure arises from circumstances beyond its reasonable control, including acts of God, extreme weather events, flooding, civil unrest, pandemic, government restriction, infrastructure failure, or any other event of force majeure. In such circumstances, WWC will make reasonable efforts to offer a rescheduled stay or partial credit at its discretion.
A8. Website & AI Chat Information
Information provided on WWC's website, including via any AI chatbot, virtual assistant, or similar automated feature, is provided for general guidance only and is not guaranteed to be complete, accurate, or up to date. Such information does not form part of any contract between WWC and a guest and should not be relied upon as a substitute for direct confirmation from WWC. In the event of any conflict between information provided via the website or AI chat and the terms of this document, a written booking confirmation, or direct communication with WWC staff, the terms of this document and any written booking confirmation shall prevail. WWC shall not be liable for any loss, damage, or inconvenience arising from a guest's reliance on inaccurate or misleading information provided via the website or AI chatbot.
PART B — Booking & Cancellation Policy
B1. Confirmation of Booking
A booking is confirmed only upon receipt of the required deposit payment and a signed copy of this document. WWC reserves the right to release a provisional booking if payment and signed documents are not received within 7 days of the booking request.
B2. Payment
The current deposit and balance payment schedule will be confirmed at the time of booking. All payments are in the currency stated on the booking confirmation. Bank transfer fees and any associated charges are the responsibility of the guest.
B3. Cancellation by the Guest
Cancellation requests must be submitted in writing to WWC. The following cancellation charges apply:
-
Cancellation more than 60 days before arrival: deposit forfeited; balance refunded in full.
-
Cancellation 30–60 days before arrival: 50% of total booking value forfeited.
-
Cancellation fewer than 30 days before arrival: 100% of total booking value forfeited. Where WWC is able to resell the cancelled dates and a replacement booking is secured for the same period, a partial credit of up to 50% of the forfeited amount may be offered at WWC's sole discretion. This credit is applied to a future stay and is not redeemable for cash.
-
No-show or early departure: no refund.
WWC strongly recommends that guests hold travel insurance covering cancellation costs.
B3a. Date Changes & Transfers
WWC understands that travel plans sometimes change. Guests who wish to transfer their booking to alternative dates rather than cancel outright are encouraged to contact WWC as early as possible.
-
One complimentary date transfer is permitted per booking, provided the request is received in writing no fewer than 30 days before the original arrival date and subject to availability at the time of the request.
-
Date transfer requests received fewer than 30 days before arrival will be treated as a cancellation and the standard cancellation charges in B3 will apply.
-
Transferred bookings are subject to any rate difference applicable to the new dates. If the new dates carry a higher rate, the guest is responsible for the difference. If a lower rate applies, no refund of the difference will be made.
-
A second or subsequent date transfer on the same booking will be treated as a new booking and cancellation charges may apply to the original reservation at WWC's discretion.
B4. Cancellation or Modification by WWC
WWC reserves the right to modify or cancel a booking in exceptional circumstances (including force majeure, infrastructure failure, or factors outside its control). In such cases, WWC will offer a rescheduled stay or a credit to the fullest extent practicable. WWC's liability is limited to the return of amounts paid; no further compensation shall be due.
B5. Arrival & Departure
Standard check-in time is from 14:00 and check-out time is by 10:00.
Early check-in and late check-out may be available on request, subject to availability at the time (for example, housekeeping turnaround and other guests’ arrival and departure schedules), but WWC cannot guarantee either. Please let WWC know your preferred arrival and departure times in advance of your stay so that we can try to accommodate them.
WWC reserves the right to charge a fee for late check-out or early check-in where these are granted.
PART C — Property Policies
These policies apply to all guests and members of their party without exception. They exist to protect your safety, the wellbeing of wildlife, and the integrity of the ecosystem. Please read them carefully and direct any questions to WWC staff on arrival.
C1. Vehicle Speed & Road Use
-
Maximum speed on all property roads and tracks: 40 km/h. Slow driving protects wildlife, prevents accidents on uneven terrain, and reduces dust impact on the environment. Guests driving rental or personal vehicles on the property must observe this limit at all times.
-
Headlights must be used at dawn, dusk, and night, and during rain or poor visibility.
-
No off-road driving is permitted outside of designated tracks. Driving off established paths causes damage to fragile wetland and forest ground cover.
-
Yield to wildlife. If an animal is on or near the road, stop and wait. Do not hoot, rev, or attempt to drive around wildlife in a way that may disturb it.
C2. Conservation of Flora & Fauna
WWC's wetland, woodland, and riverine forest support a remarkable range of species — many of them rare, endemic, or poorly studied. The guidelines below exist to keep that ecosystem intact, for wildlife and for future guests.
-
Do not touch, handle, feed, or interfere with any wild animal, including insects, birds, reptiles, and amphibians. Even well-intentioned contact can cause stress, alter natural behaviour, or introduce harmful pathogens — and some animals that appear small or docile can bite or sting.
-
Do not pick, cut, remove, or damage any plant, flower, grass, fungi, or other vegetation. What looks like a single flower is part of a larger system — of pollination, food, and shelter. The collection of any natural material, including seeds, feathers, bones, and stones, is not permitted without explicit prior consent from WWC.
-
Maintain a respectful distance from all wildlife. Follow guide distances where applicable. Never approach a nest, den, or young animal — even if the parent appears absent.
-
Photography is welcome but flash photography near wildlife is prohibited, particularly near nocturnal species and nesting birds, where sudden light causes genuine distress.
-
Do not disturb vegetation at the water's edge or enter wetland areas without a guide. These habitats are among the most sensitive on the property and may also harbour hidden hazards.
C3. Noise & Light Pollution
-
Quiet hours are observed from 9:00 PM to 6:00 AM. The bush comes alive after dark and guests are often up at dawn — these hours reflect the natural rhythm of the place. During quiet hours, please keep voices low, avoid playing audio from devices, and close accommodation doors gently.
-
During all hours, guests are asked to keep noise to a level that does not disturb wildlife or other guests. WWC is a place of stillness — birdsong, wind, and water are its soundtrack.
-
Artificial lighting after dark should be minimised. Bright artificial light disrupts the behaviour of nocturnal wildlife — disorientating insects, disturbing nesting birds, and affecting the movement of mammals along the river corridor.
C4. No Littering & Waste Management
-
Zero littering on the property. All waste — including food scraps, packaging, cigarette butts, bottle tops, and tissue — must be disposed of in designated bins or returned to the lodge or carried away. Note waste is separated into organic (can decompose) and inorganic. There is no easy solution for inorganic waste (glass, metal, plastic etc) so try minimise this.
-
Minimise single-use plastic. Guests are encouraged to carry a reusable water bottle; filtered water is available at the lodge.
-
Food and drinks are not to be carried into, consumed in, or stored in open areas unless on an authorised guided activity. Food waste attracts wildlife and disrupts natural behaviour.
-
Human waste outside of designated facilities is not permitted. All ablution facilities must be used appropriately.
C5. No Pets
Pets of any kind are not permitted on the property. This policy exists to protect native wildlife, prevent the introduction of disease, and ensure the safety of guests and their pets alike. No exceptions will be made.
C6. Fire Safety
-
No open fires are permitted outside of designated fire areas and only when conditions are safe and a WWC staff member has approved. This is especially critical during dry season.
-
No smoking inside any accommodation or within 5 metres of any structure. Cigarette butts must be fully extinguished and disposed of in designated receptacles — never discarded on the ground.
-
In the event of a fire – in a property only is safe and comfortable, use a fire extinguisher to control it. Alert WWC staff immediately. and move to a safe location.
-
In the event of a fire – outside: move away from danger and alert WWC staff immediately. Do not attempt to fight a wildfire. Follow staff instructions for evacuation.
C7. Water Safety
-
The West Lunga River and associated waterways are home to hippos, crocodiles, and strong currents. Do not swim in, wade into, or enter any natural waterway without the explicit permission and supervision of a WWC guide, and always at your own risk.
-
Children must be supervised by an adult at all times near any water body, including the river, wetland margins, and any on-property water feature.
-
Kayaking, boating, or any watercraft activity is only permitted as part of an organised WWC-guided excursion, and always at your own risk.
C8. Guided Activities & Independent Exploration
-
Walking, running, cycling, and boating are all part of life at WWC, and guests are warmly encouraged to explore the trails and river at their own pace. Some areas of the property are accessible only with a guide — please inquire from WWC staff before heading out.
-
If you're heading out independently beyond the lodge area, please let a staff member know your intended route and approximate return time. This isn't a formal procedure — it's simply that mobile network coverage beyond the lodge is limited, and if something unexpected happened, knowing where to start looking makes all the difference.
-
WWC reserves the right to restrict access to any area at any time in the interests of safety or conservation — for example, during extreme weather or if a dangerous animal is in the area.
C9. Respect for Staff, Community & Culture
-
WWC operates in close partnership with local communities. Guests are asked to treat all WWC staff and community members with dignity and respect at all times.
-
Photography of staff, community members, or community areas requires consent. Please ask before taking portraits.
-
WWC operates in a region with its own customs and languages. Guests are encouraged to engage with curiosity and humility.
C10. Damage to Property
Guests will be held liable for the cost of repairing or replacing any property belonging to WWC that is damaged through negligence, misuse, or deliberate action. This includes accommodation structures, furnishings, equipment, vehicles, and any other property of the conservancy. WWC reserves the right to charge the amount to the payment method on file or invoice the guest directly.
C11. Substances & Intoxicants
The use of illegal substances is strictly prohibited on the property and may result in immediate removal from the premises. Alcohol is available in moderation at WWC. Guests who are visibly intoxicated to a degree that poses a risk to themselves, other guests, or wildlife may be asked to return to their accommodation or restrict their movement on the property.
C12. Compliance & Right of Removal
WWC reserves the right to ask any guest to leave the property immediately — without refund — in the event of a serious, repeated, or wilful breach of these policies, or conduct that poses a risk to people, wildlife, or the environment. The decision of WWC management is final.
